KRI Regatta Information

This notice contains important information on attending KRI Regattas that we strongly recommend you read.

Regatta Volunteer Allocations

As demands at regattas increase, the need for volunteers continues to grow. As per last year, KRI requests that all entities assist with the provision of volunteers. We were requested last season that schools and clubs are notified prior to the season to assist with planning.  This list includes which regattas your entity has been nominated to assist with volunteers. If you will not be attending the regatta that you have been nominated, please contact Lyn Allen (lynallen.la@gmail.com) and provide an alternative regatta that you can assist at.  Once you have allocated a volunteer, at least two weeks prior to the regatta, please email the volunteers name, email address and cellphone number to Lyn, who will be in direct contact with the nominated volunteer.   

Regatta Entry

Karapiro Rowing uses the rowIT regatta entry system for all regattas during the year. Entries can be done by either clubs (including all their schools) or by schools even if they are an affiliate of a rowing club. If schools are entered via a club, then they will be treated as members of that club and there will be a requirement for them to race in the official colours of the club and all charges for the schools will be sent to the club.

All competitors wishing to compete in regattas up to and including the National Club Championships must be a holder of a current Rowing New Zealand Competition Licence before entries can be submitted. Registering competitors can be a lengthy process, so clubs and schools are advised to do this early so as not to get caught out when doing entries for regattas.

Where to from here?

Entries are often re-opened for events where there are spare lanes available. In addition to this, the entries administrator can scratch (withdraw) crews online, and also change the names of people in the crew (providing it meets the requirements of the rules). The closing dates for supplementary entries, scratchings without penalty and online crew changes will be advised both on the web site and in the conditions.

How the invoicing system works

Once the entries for a regatta have closed, the entry information is downloaded from the entry site.  One invoice is produced that covers the regatta entry fees (including late entry fees and any credits), penalties, Amenity Fees payable for each athlete, RNZ Seat Fees and the charge for the Tent Site booking, if one has been booked. This invoice will be generated and emailed to the nominated email address within 48 hrs of the close of the regatta and must be paid so that Karāpiro Rowing receives the payment within 7 days.

After entries have closed, a number of things happen before the regatta. Often Supplementary Entries are called for to fill lanes available in some events. These entries close about two days before the regatta and are invoiced the same as entry fees. Also, before the regatta, clubs have the option to scratch crews from events. If the scratching is done before the advertised close off time, then 100% of the entry fee (excluding seat fees) is credited back to the club. Scratchings submitted after the close off time will be subject to a late scratching fee.

Each regatta that is run by Karapiro Rowing has a unique set of terms and conditions written for it. It is important that club and school officials read and adhere to these conditions. The terms and conditions cover a wide range of areas connected with the regatta from any rule modifications through to how entries shall be done and payments made.

Regatta Uniforms

Each club and school have registered with their appropriate governing body, an official racing uniform. It is a requirement that clubs and schools must wear these colours when competing at Karapiro Rowing organised regattas. The colours to be worn is determined by who does the entries. If the entries were submitted by a club including affiliated schools, then club colours registered with Rowing New Zealand shall be worn by all crews entered. If the entries were submitted by a school, then the colours registered with the New Zealand Secondary Schools Rowing Association shall be worn.

Club and School Accounts

Karapiro Rowing operates credit accounts for all clubs and schools entering their regattas. In past years, entry fees were required to be paid at the time of submitting the entries, but with the advent of the electronic age and internet banking, it has become difficult to operate under the old ways, so credit accounts are provided. Generally, entries are to be paid for before the regatta, which in most cases gives clubs and schools about ten days to organise their payments. Where clubs do the entries for their schools, Karapiro Rowing will not split out school entries and identify them separately in club accounts.
